JOB DESCRIPTION

Project Coordinator II–III (Level 2–3)

POSITION SUMMARY
The Project Coordinator (PC) independently manages core project controls, documentation, coordination, and administrative systems while developing increasingly advanced understanding of construction execution, cost, schedule, compliance, and risk. The role supports the project from preconstruction handoff through closeout and serves as an operational backbone of the project team.

Level 2 represents the transition from task-based support to independent system ownership — executing reliably with minimal supervision, owning assigned logs and workflows, and proactively communicating risks, gaps, or missing information.

Level 3 represents independent administrative and operational ownership — outcome-driven, producing repeatable, predictable results across project controls, schedule support, cost tracking, compliance, quality, and closeout so the Project Manager and Superintendent can lead effectively.

WHAT YOU'LL DO

Project Controls & Documentation Ownership
- Independently manage RFIs, submittals, meeting minutes, correspondence, and applicable project logs
- Own and maintain project logs for RFIs, submittals, changes, and closeout, as assigned
- Ensure documentation is accurate, complete, properly routed, timely, and tracked to closure
- Identify missing information, conflicts, inconsistencies, or delays and escalate proactively
- Maintain organized, current, and audit-ready records aligned with PR standards

Schedule Support & Coordination
- Track submittal schedules, procurement items, milestone dates, activities, constraints, and impacts
- Provide accurate status inputs supporting the Critical Path Schedule
- At Level 3, support development and updates of the Critical Path Schedule
- Coordinate schedule-related documentation with the Project Manager and Superintendent
- Identify documentation-, material-, or coordination-driven schedule risks early and escalate them

Financial & Change Management Support
- Assist with the preparation and tracking of change requests and change orders
- Track potential change events from identification through execution
- Maintain change logs and budget trackers under Project Manager oversight
- Assemble accurate, complete, and defensible change backup documentation
- At Level 3, support owner billings with accurate documentation

Procurement & Vendor Coordination
- Track submittal approvals, procurement status, and material deliveries
- Coordinate with vendors and subcontractors regarding procurement status
- Support buyout activities as assigned

Communication & Stakeholder Coordination
- Coordinate information flow among the Project Manager, Superintendent, subcontractors, vendors, and consultants
- Lead routine coordination meetings as assigned at Level 3 and produce clear, actionable meeting minutes
- Maintain professional, responsive relationships with internal and external customers

Field & Team Integration
- Attend jobsite meetings and site walks independently
- Support Superintendents with documentation and coordination needs
- Maintain alignment between field conditions and project documentation

Quality Control & Closeout Support
- At Level 3, track inspections, testing, approvals, punch lists, and deficiency logs
- Assemble and deliver complete closeout packages
- Support turnover documentation and ensure clean, timely project closeout records

Systems, Tools & Process Discipline
- Maintain accurate and timely data in ProjectSight
- Follow PR standard operating procedures
- At Level 3, improve efficiency through disciplined system usage

Leadership & Professional Growth
- Support onboarding and mentoring of Level 1 PE/PC staff at Level 2
- Mentor Level 1–2 PE/PC staff at Level 3
- Model professionalism, accountability, responsiveness, reliability, and organization
- Participate in training and development initiatives

QUALIFICATIONS
Level 3 qualifications include:
- 4–6 years of construction project coordination or engineering experience
- Strong construction document literacy
- Proficiency in ProjectSight and standard project management tools
- Demonstrated organizational discipline

COMPENSATION
Level 2 Pay Range: [Insert Level 2 PE/PC pay band]
Level 3 Pay Range: [Insert Level 3 PE/PC pay band]
Incentive Eligibility: Discretionary, performance-based
